These Terms & Conditions (“Terms”) govern participation in any driving tour, track experience, ice driving event, or bespoke travel experience (“Experience”) organised by Solenza Group Ltd (“Solenza”, “we”, “our”, or “us”). By placing a booking, the client (“you”, “Guest”, or “Participant”) agrees to be bound by the following.
1. Definitions
Experience: Any tour, driving experience, event, or program offered by Solenza.
Guest: Any individual listed as participating in the Experience, including drivers and non-driving companions.
Booking Form: The document confirming your Experience, pricing, and inclusions.
Damage Deposit: A temporary pre-authorisation taken to cover potential vehicle damage or costs.
Third-Party Suppliers: External partners (e.g. hotels, vehicle rental agencies) contracted by Solenza.
Risk Waiver: The legally binding document outlining risks and liability, signed by all participants.
Force Majeure: Events outside the control of Solenza, including natural disasters, pandemics, strikes, government restrictions, etc.
2. Booking & Acceptance
2.1: Your booking is only confirmed upon full deposit payment and signed acceptance of these Terms. Both conditions must be met for confirmation.
2.2: All driving participants must be at least 25 years old unless expressly approved in writing by Solenza. Guests must hold a full, valid driving licence recognised in the country of the Experience. No refund or compensation will be provided if you are unable to participate due to invalid licensing, documentation, or driving restrictions.
2.3: Non-driving companions are to be booked alongside a driving guest and are subject to these Terms. No independent bookings for non-drivers are accepted.
3. Inclusions & Exclusions
3.1: Your Booking Form details inclusions (e.g. accommodation, vehicles, meals, on-road support). Only those explicitly stated are included.
3.2: You are responsible for:
Flights and travel to/from the starting point (unless explicitly stated otherwise)
Travel insurance and visas
Personal incidentals & room service charges
Additional meals and beverages outside of stated inclusions
Additional upgrades or services not listed
4. Experience Delivery
4.1: Solenza arranges and oversees each Experience, supported by carefully vetted Third-Party Suppliers. We act as principal in contract for the overall delivery, but individual services may be fulfilled by third parties.
4.2: Bespoke events may include additional terms specific to that itinerary, which will be outlined at the time of booking.
5. Vehicles & Driving
5.1: For Driving Tours: Vehicles are shared, and participants rotate driving across the fleet. For Track Experiences / Ice Driving / Self-Drive: Vehicles may be assigned per guest or group or rotated based on the package.
5.2: Solenza logs driving time for each guest/staff member electronically. Any damage to a vehicle during a participant’s driving session will be assumed to be their responsibility unless otherwise demonstrated.
5.3: Guests must follow all traffic laws, safety briefings, and instructions from Solenza or third party staff. Reckless driving or substance use including alcohol or recreational drugs, regardless of legality in the country of the event may result in removal without refund.
5.4: You may be required to sign additional waivers or agreements directly with third-party vehicle suppliers. These may include specific terms regarding security deposits, insurance coverage, or excess liability limits.
6. Damage Deposits & Insurance
6.1: A refundable pre-authorisation will be held on your card via Stripe or equivalent platform, with amounts as follows:
Driving Tour: Up to £10,000 (or local currency equivalent)
Track Experience: Up to £30,000 (or local currency equivalent)
Ice Driving: Up to £1,500 (or local currency equivalent)
The hold may be taken in GBP, the event’s local currency, or the booking currency. You’ll be informed prior to the event.
6.2: You are liable for any damage incurred during your driving session up to the deposit amount. Damage exceeding this may be pursued via legal means or insurance. Solenza reserves the right to withhold the deposit in part or in full pending assessment of any incident.
6.3: Damage to wheels, tyres, and underbody components may not be covered under standard insurance terms and may be subject to separate charges as outlined in your event waiver or hire agreement.
7. Payments, Currency & FX Policy
7.1: Experiences are quoted in GBP or your local currency. Operational costs are often incurred across multiple currencies, and as such pricing is reviewed monthly to reflect FX fluctuations. Solenza is not liable for any third-party transaction fees, currency conversion charges, or banking costs incurred by the client when making payment. All payments include applicable local taxes unless otherwise stated.
7.2: All client quotes are valid for 7 days unless stated otherwise. Payment confirms your acceptance of the current pricing.
7.3: The balance of payment is due by the date outlined in your Booking Form, typically 60-90 days before departure. Late payment may result in cancellation without refund.
8. Cancellations & Credits
8.1: All cancellations must be submitted in writing and are subject to the following terms (see also Clause 8.5 for event-specific terms), based on the number of days prior to the scheduled start of the Experience:
More than 181 days before experience start
Amount retained: Full refund minus 5% admin fee
Credit toward future booking: None
180 to 91 days before experience start
Amount retained: Deposit retained
Credit toward future booking: Deposit less 5% credited
90 to 61 days before experience start
Amount retained: 70% of Experience cost due
Credit toward future booking: 35% credited
60 days or fewer before experience start
Amount retained: 100% of Experience cost due
Credit toward future booking: Up to 55% credited
If Solenza is able to resell your place, a refund may be offered in lieu of credit, less a 5% administrative fee. This is at Solenza’s discretion.
8.2: A confirmed place on any Solenza Experience may be transferred to another person with prior written approval. A 5% administrative fee will apply. Solenza reserves the right to approve or decline any transfer request at its sole discretion.
8.3: Any credits issued by Solenza will be:
Valid for 12 months from the original Experience start date
Non-transferable, unless otherwise agreed in writing
Redeemable against any future Solenza Experience, subject to availability
8.4: Solenza reserves the right to cancel or reschedule an Experience due to Force Majeure, operational constraints, or insufficient guest numbers. In such cases, guests will be offered either:
A full refund, or
A full credit toward a future Experience, valid for 12 months.
Solenza is not liable for any external or incidental costs (e.g. flights, insurance, or accommodations booked separately) incurred by the guest.
Solenza also reserves the right to cancel or postpone an Experience for any reason not covered above. In such cases, a full refund or credit will be offered, and no further liability will be accepted.
8.5: Certain Experience categories (such as Track Events, Ice Driving, or Private Bespoke itineraries) may be subject to amended or supplemental cancellation terms. These will be clearly outlined in the individual booking form, proposal, or event agreement provided at the time of confirmation.
9. Travel Insurance & Risk Assumption
9.1: Guests must hold travel insurance covering medical emergencies, repatriation, cancellation, and personal effects. Solenza may request proof.
9.2: You acknowledge the risks involved in driving high-performance vehicles in unfamiliar environments, including injury, damage, or death.
9.3: A separate waiver will be signed electronically before participating. This applies to all event types and covers Solenza, its staff, contractors, and suppliers.
9.4: Guests are responsible for informing Solenza in advance of any medical conditions or accessibility requirements that may affect their ability to safely participate in the Experience.
10. Luggage Transport & Liability
10.1: Solenza will transport guest luggage between destinations as part of the Experience.
10.2: While we take reasonable care, Solenza is not liable for lost, damaged, or stolen luggage or contents during transit.
11. Media & Image Use
11.1: By participating, you grant Solenza full rights to use photos, video, and testimonials and other likenesses for marketing, including digital, print and social media channels, unless you opt out in writing at least 14 days prior to the event.
11.2: Solenza may share this media with event sponsors or partners under similar usage terms.
12. Data Protection & Privacy
Solenza collects and processes personal information in accordance with its Privacy Policy and applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR). Your data will only be used for the purpose of managing your booking, delivering your Experience, and communicating with you before and after the event.
Solenza will not share your personal data with third parties unless required for service delivery (e.g. hotel check-ins, activity bookings), legal compliance, or with your prior consent.
You may request access to, or deletion of, your personal data at any time by contacting legal@solenzaexperience.com.
13. Behaviour, Conduct & Dismissal
13.1: Solenza reserves the right to remove any guest from an Experience immediately if their behaviour is deemed unsafe, disruptive, inappropriate, reckless, or significantly detrimental to themselves or other participants. No refund will be provided in such cases.
13.2: If a guest is removed for misconduct, no refund or credit will be issued, and further costs (including travel home) may be at their own expense.
14. Bespoke Experience Variations
14.1: For any bespoke, white-label, or custom-tailored experiences, a modified version of these Terms may be issued in advance. These will supplement or replace sections of this agreement where necessary.
15. Force Majeure
15.1: Solenza is not liable for delays or cancellations due to acts of God, natural disaster, war, strikes, pandemic, or other uncontrollable events.
15.2: In such cases, we will attempt to reschedule, credit, or offer partial refunds based on our commercial ability and any supplier refunds received.
16. Intellectual Property
16.1: All content and materials provided by Solenza, whether before, during, or after the Experience, remain the exclusive property of Solenza or its licensors. This includes, but is not limited to, driving routes, maps, itineraries, curated tour designs, event briefings, guest documents, and supporting materials (“Event Materials”).
16.2: Solenza grants you a limited, non-exclusive, non-transferable licence to use the Event Materials solely for your personal use in relation to the specific Experience booked. This licence does not permit reproduction, sharing, public display, or use for any commercial or professional purpose.
16.3: You may not copy, reproduce, modify, republish, transmit, distribute, sell, or exploit any Event Materials in whole or in part without Solenza’s prior written consent.
16.4: Some Event Materials may incorporate content or assets owned by third parties (such as maps, branding elements, or supplier information). Where applicable, your use of such content must comply with any additional third-party licensing or usage terms, which will be disclosed in advance.
16.5: Upon cancellation or completion of your Experience, your licence to use any Event Materials terminates automatically, and you must delete or return any such materials at Solenza’s request.
17. Limitation of Liability
17.1: To the fullest extent permitted by law, Solenza shall not be liable for any indirect, incidental, special, or consequential losses or damages, including but not limited to loss of enjoyment, inconvenience, lost profits, or additional expenses, arising from or related to your participation in the Experience.
17.2: Solenza is not liable for any acts, omissions, or failures of third-party suppliers, including but not limited to accommodation providers, transport operators, vehicle suppliers, or activity hosts. While we take care to work with reputable partners, each operates independently under its own terms.
17.3: Solenza’s total liability for any claim or dispute relating to the Experience shall not exceed the total amount paid by the guest for that Experience. This limitation applies whether in contract, tort (including negligence), or otherwise.
17.4: Nothing in these Terms shall exclude or limit liability for death or personal injury caused by negligence, or for any liability which cannot be lawfully excluded under applicable law.
18. Legal Framework
18.1: These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
18.2: Solenza welcomes the opportunity to resolve concerns informally and in writing before legal proceedings are initiated.
19. Entire Agreement
These Terms, together with your Booking Form, Risk Waiver, and any event-specific supplements or written agreements, constitute the entire agreement between you and Solenza. They supersede all prior discussions, emails, proposals, or understandings relating to the Experience.
No amendments or variations shall be valid unless agreed in writing by Solenza.
